Ref. Analytics: Viewing, managing, and exporting transactions

The View/Edit Transactions page provides a simple interface for searching, browsing, and managing your system's tickets.

To get started, select Add/Edit Transactions from the Ref. Analytics dropdown.


Filter the list of transactions

To more easily locate specific transactions, you can use the filters at the top of the page.

Use the filters to choose your dataset and find transactions that meet specific criteria.
  1. Switch to Dataset: select the dataset you want to view and click the Go button.
  2. Question/Answer: use this field to filter by keywords in a transaction's question or answer.
  3. Internal Note: use this field to filter by keywords in a transaction's internal note.
  4. Entered by: use the field to filter transactions by the user that answered/submitted them. Select "View All" to include transactions answered by any user.
  5. READ scale: use this field to filter transactions to a specific value in the READ scale. Select "View All" to include transactions with any (or no) value set. (Note: some datasets may not have the READ scale enabled.)
  6. Dataset-specific metadata fields: use these fields to filter the transactions based on the metadata values from the dataset. (This will vary by dataset.)
  7. Time Period and To: use these date fields to filter transactions by their submission dates, using the Time Period field to specify a start date and the To field to specify an end date.
  8. Limit by Day: use this field to filter tickets based on the day of the week they were asked on. Select "All Days" to include tickets from the entire week.
  9. Limit by Time between and And: use this field to filter transactions based on the time of day the transaction was submitted, using the Limit by Time between field to specify a starting hour and the And field to specify an ending hour.
  10. To apply your filters, click the Filter button.
  11. To reset all fields to default, click the Clear Filter link.

Browse and manage transactions

Under the View Transactions tab, you can browse, edit, and delete transactions.
  1. Click on the ID / (Ticket #)Date/Time (the default sort), or Last Updated column heading to sort by that column in ascending order. Click it again to switch to descending order.
  2. If a transaction was added from a ticket, the ticket number will appear in the ID / (Ticket #) column. Click on the number to view that ticket.
  3. Click the Modify this transaction () icon to edit the transaction.
  4. Click the Delete this transaction () icon to remove the transaction from the dataset.

Export transactions

  1. To export the currently filtered list of transactions, click the Export tab.
  2. Click on the Export Transactions button.
    1. To remove any HTML from the Question/Answer fields, check the Strip HTML from export data box before exporting.
  3. This will generate and download a CSV file containing the following columns:
    • ID: the unique ID number assigned to each transaction.
    • Date: the date the transaction was submitted.
    • Time: the time of day the transaction was submitted.
    • Question: the text in each transaction's Question field.
    • Details: the text in each ticket's Details field.
    • Answer: the text of the initial answer/reply that was sent to the patron.
    • Notes: the text of the internal notes field.
    • Entered by: the name of the user that submitted/answered each transaction.
    • Dataset-specific metadata fields: the values for the metadata fields included in the dataset.
    • READ: the value, if one has been set, from the READ scale field.
