Spaces & Equipment: Customize the terms and conditions for space / equipment bookings

The Terms & Conditions that you set up are displayed when a user begins the Reservation Checkout process. Users must agree to these terms before they can complete a reservation. 

You can set up the terms and conditions for an entire location, a spaces category, an equipment category, an individual space, and/or an individual equipment item. When you add terms & conditions to a category or space/item, they will be displayed in addition to your location's terms & conditions. For example, if a user is booking Space A and that space has it's own terms and conditions set along with those set for the location the space is in, the user would see both sets of terms and conditions as part of the reservation process.


Customize a location's terms & conditions

  1. Go to Admin > Spaces & Equipment.

  1. Under the Locations tab, click on the location's edit () icon in the Action column.

  1. Under the General tab, use the Terms & Conditions text box to add or edit the booking terms for your location.
    • You can use the rich text editor to apply formatting to your text, such as lists, headings, font styles, etc.
    • The location's terms and conditions will display for every space and equipment booking made at this location, along with any specific terms & conditions adding to the location's categories, spaces, and/or equipment items.
  2. Click the Save button at the bottom of the General panel.

Customize a space category's terms & conditions

To customize the description for a space category:

  1. Go to Admin > Spaces & Equipment.
  2. Under the Locations tab, find the location containing the category you want to move and click on its link in the Spaces column.

  1. Select Edit Category from the cog () button in the category's heading.

  1. Under the General tab, use the rich text editor in the Terms & Conditions text box to edit the category's booking policies.
  2. Click the Save Category Settings button.

Customize an equipment category's terms & conditions

To customize the description for an equipment category:

  1. Go to Admin > Spaces & Equipment.
  2. Under the Locations tab, find the location containing the category you want to move and click on its link in the Equipment column.

  1. Click on the category's Edit Category button.

  2. Click the Save Category Settings button.

Customize an individual space's terms & conditions

To edit the terms & conditions for a space:

  1. Go to Admin > Spaces & Equipment.
  2. Under the Locations tab, find the location containing the category you want to move and click on its link in the Spaces column.

  1. Click the Edit Space () icon for the space that you want to move.

  3. Use the rich text editor in the Terms & Conditions text box to add or edit the space's booking terms, which display prior to submitting the booking form.
  4. Click the Save Settings button.

Customize an individual equipment item's terms & conditions

Remember: this can only be edited in your main item records. The changes you make to the main item record will be automatically reflected in all items linked to it.

To edit the terms & conditions for an item:

  1. Go to Admin > Spaces & Equipment.
