Event Calendars: Creating and deleting calendars

Creating a new calendar

To create a new calendar:

  1. Click on Event Calendars from the command bar.
  2. Click the Create a New Calendar button that will launch the Create a Calendar modal.
    • Only Admin users can create a calendar.

  1. In the Create a Calendar window:
    1. Give your calendar a name in the Title field. 
    2. If you'd like, give your calendar a description in the Short Description field (maximum of 1,000 characters).
    3. From the Calendar Visibility dropdown, select whether you want your calendar to be public or internal.
      • Internal calendars can only be viewed by logged in users, unless you give them a friendly URL. Then, only people who know the friendly URL can view the calendar.
      • Public calendars are visible to everyone.
    4. From the Default Registration Form dropdown, select which registration form you want to use as the default for events (when registration is enabled).
      • This is just the default -- event organizers can always select a different form to use. 
    5. If you have set up LibAuth in LibApps, you can use the Set Default LibAuth Authentication Configuration dropdown to select which LibAuth profile to use.
      • When an event has registration enabled, this will require registrants to first authenticate using the authentication system you've set up in LibAuth. If a user does not have a valid account, they will be unable to register for the event.
      • This will just set the default -- event organizers can always choose not to require LibAuth authentication.
      • This option will not appear if LibAuth has not been configured. Talk to your LibApps admin if you're interested in setting it up.
    6. To help you avoid adding events when your library is not open, use the Linked to LibCal Opening Hours dropdown to select a library or department from your Hours module.
      • When adding or editing an event's date and times, LibCal will let you know if they fall outside the opening hours for the selected library or department.

    7. If your calendar is public, it can be helpful to give it a customized, Friendly URL. This will not only make the calendar URL easier to share, but also easier to remember.
      • Friendly URLs can only contain alphanumeric characters, dashes, and underscores. They are also case sensitive, so we recommend using lowercase letters.
      • Remember: if this calendar's visibility is set to private, then giving the calendar a friendly URL will allow people who know the URL to view it without having to log in.
    8. If desired, check the Allow Events to Book Multiple Locations/Rooms checkbox.
      • When enabled, this will allow event organizers to select multiple locations or rooms (from the Spaces module) for a single event.
      • This can be helpful if you have an event happening in multiple locations, or are using both halves of a dividable room, for example.
    9. If you'd like to have registration enabled by default for new events, select the Make "Registration Required" the Default in the "Add New Event" form. (Event organizers will still be able to disable registration when needed.)
    10. If you'd like to prevent the same person from registering for an event multiple times, select the Prevent Duplicate Email Addresses from Registering in Same Event checkbox.
  2. Click Save.
    • This will take you to your new calendar, where you can create events and manage your calendar's settings.

Deleting a calendar

Be careful when deleting calendars!

Deleting a calendar will permanently remove the calendar from your system and cannot be undone.

When deleting a guide it will remove all:

  • Event information.
  • Registrations made against these events.
  • All statistics for this calendar.

Once the calendar is deleted it is gone forever. You can not get it back later, so please proceed with caution!

To delete a calendar:

  1. Click on Event Calendars from the command bar.
  2. Click on the calendar's title from the Modify/View Calendar column on the Calendar Index tab.

  1. Click on the Settings button.
  2. Choose Delete Calendar from the dropdown and then hit the Delete button on the modal.
    • Note: calendars that have future events cannot be deleted. You must manually delete the future events or move them to another calendar before you can delete the calendar.
