Spaces: Change a booking's space, start time, or end time

For existing space bookings, you can adjust the spaces(s) that are booked as well as the start and end times for the booking as needed. These changes can be made from the Booking Grid & Availablity tab, the Booking Explorer, or the Confirmed Bookings tab.


Select a location and category

  1. Click on Spaces in the command bar.
  2. Select the Location you wish to view.
  3. Click on the Booking Grid & Availability tab.
  4. Use the filters to select spaces by Category, Zone, or other options.
  5. Click the Go button to load the booking grid.

Option 1. Via the Availability tab

  1. Select the location and category for your space.
  2. Under the Booking Grid & Availability tab, click on the booking slot you want to edit in the availability grid.
  3. The Booking Details panel will appear below the grid. Click on its Date/Time to edit that booking.

  1. In the Update Booking modal, you can select a different space and/or booking times:
    1. Use the New Space dropdown to select a different space. (Please note that you may have to adjust the times based upon the availability of the new space.)
    2. Use the New Start Date/Time field to adjust the starting time of the booking.
    3. Use the New End/Due Date field to adjust the ending time of the booking.
    4. If you would like to also send the patron an email about these changes, select the Send confirmation email to user checkbox.
    5. If you opted to send an email, use the Additional Information to add a message to the notification. This will be included in the location's "Confirmed" email template wherever the {{{ADDITIONAL_INFORMATION}}} token is inserted.
    6. For locations with Space/Seat Booking Check In/Out​ enabled, you can choose to override the requirement for checking into the booking being updated by unchecking the User is required to check in for this seat/space booking checkbox.
      • This option will not be displayed for locations that have the check in/out option disabled.
  2. Click the Update Booking button.

Option 2. Via the Booking Explorer tab

  1. Click on the Booking Explorer tab.
  2. Select the location, zone, category, and/or the specific space you want to view.
  3. Use the filters to locate the booking you want to edit and click the Go button.
    • If you selected a zone, category, and/or space in Step 2, you will need to click Go to filter the explorer.
  4. Click on its date/time in the To column.

  1. In the Update Booking modal, you can select a different space and/or booking times:
    1. Use the New Space dropdown to select a different space. (Please note that you may have to adjust the times based upon the availability of the new space.)
    2. Use the New Start Date/Time field to adjust the starting time of the booking.
    3. Use the New End/Due Date field to adjust the ending time of the booking.
    4. If you would like to also send the patron an email about these changes, select the Send confirmation email to user checkbox.
    5. If you opted to send an email, use the Additional Information to add a message to the notification. This will be included in the location's "Confirmed" email template wherever the {{{ADDITIONAL_INFORMATION}}} token is inserted.

  2. Click the Update Booking button.

Option 3: Via the Confirmed Bookings tab

  1. Click on the Confirmed Bookings tab.
  2. Use the checkboxes in the first column to toggle the visibility of individual spaces in your calendar.
    1. Click the Toggle All option to change the visibility of all spaces in the list at once.
    2. Click on the All spaces from all locations checkbox to view all spaces in your calendar, not just the ones in the current location.
  3. Click on the booking you want to edit in the calendar.
  4. The Booking Details panel will appear below the calendar. Click on its Date/Time to edit that booking.
