Equipment: Set an item's details (i.e. image, description, instructions, user manual, etc.)

Along with setting item-level fine templates, LibAuth group rulesbooking form fields, and terms & conditions, each item has a set of details that can be customized to provide users with specific information about the item when booking the item as a patron and when checking it out from the admin-side. These details include:

  • Item image
  • Model
  • Description
  • Item instructions
  • User manual information
  • Check out/in procedure notes

Remember: this can only be edited in your main item records. The changes you make to the main item record will be automatically reflected in all items linked to it.


To adjust the details to use for an item:

  1. Go to Admin > Spaces & Equipment.

  1. Under the Locations tab, find the location containing the category you want to move and click on its link in the Equipment column.

  1. Click on the space's edit () icon in the Action column.

  1. Under the Details tab, you can customize any of the following fields.
    1. Image URL: Click on the Launch Image Manager button to upload and/or select an image to display for this item. This will automatically insert the image's URL in the Image URL field.
      • Alternatively, if an image is hosted elsewhere, you can enter the full URL in the Image URL field.
      • A thumbnail image will display below the Image URL field so you can preview how the image looks.
    2. Model: Allows you to provide information about its model (whether it's a name, like MacBook Air, or model number, like SM-G9600).
      • This information is displayed in the public booking catalog and can help users know more specifically which item they are booking, especially if there are similar-looking models in the same category.
    3. Description: Provide a description of an item, such as its specs or any special features it might have.
      • This will display on the public bookings page when someone views more information about the item.
    4. Item Instructions: Provide instructions for how to use a piece of equipment.
      • This will display on the public bookings page when someone views more information about the item.
    5. User Manual URL: Provide a direct link to the item's documentation/user manual.
    6. User Manual Upload: Upload an item's user manual.
      • For example, if you have a PDF copy of a user manual, you can upload it to the item and a link will be provided on the item's catalog page.
    7. Check Out Procedure Note: Add procedure notes to the item to help remind staff to follow certain procedures while checking an item out.
      • For example, with a laptop, you could remind users to make sure the power adapter is present at check out and check in.
    8. Check In Procedure Note: Add procedure notes to the item to help remind staff to follow certain procedures while checking an item back in.
  2. Click the Save Settings button.
