Equipment booking statistics

To see statistics for your Equipment Booking module, go to Stats > Equipment.

Filtering the statistics

By default, the statistics will display month-to-date stats for all locations and categories. However, if you'd like to analyze a specific subset of your bookings, you can apply the following filters:

  1. Location: limit your statistics to a specific location's equipment.
  2. Category: when a specific location is selected, you can filter to a specific category of equipment, or analyze all of its categories at once.
  3. Item: when a specific category is selected, you can filter to an individual item in that category, or analyze all of its items at once.
  4. Date: you can adjust the date range you want to analyze, using one of the presets (such as "This Calendar Year") or a custom range of your choice.
  5. After adjusting the filters, click the Go button to update the statistics reports.

Bookings summary report

The Bookings Summary report provides you with a general overview of your bookings, including:

  • Unique Users: how many different patron email addresses have been used to make confirmed and mediated approved bookings for the selected items.
  • Total Bookings: total number of confirmed and mediated approved bookings for the selected items.
  • Time Available: the combined total of all opening hours for the selected items.
  • Time Booked: the combined total duration of all selected items.
  • Average Booking Duration: the average duration of each booking in the selected items.

To view your Bookings Summary data broken down by location, set the Location filter to All Locations and click Go. Then click the View Per-Location Bookings Summary link to show the data table.

To view your Bookings Summary data broken down by each category in a single location, select the Location you want to analyze and leave the Category filter set to All Categories, then click Go. Once your stats have refreshed, Click the View Per-Category Bookings Summary link to show the data table.

To view your Bookings Summary data broken down by each item in a single category, select the Location & Category you want to analyze, leaving the Item filter set to All Items In Category, then click Go. Once your stats have refreshed, Click the View Per-Item Bookings Summary link to show the data table.

Availability Data reports

The Availability Data reports allow you to analyze the availability of your items by month, day, and hour, providing you with a ratio of the minutes available to the minutes booked for each item.

Monthly Availability

The Monthly Availability report provides you with the total number of minutes available vs. minutes booked for each month, along with a calculated availability ratio.

Daily Availability

The Daily Availability report provides you with the total number of minutes available vs. minutes booked for each day of the reporting period, along with a calculated occupancy ratio.

Day of the Week Availability Distribution

The Day of the Week Availability Distribution report is similar to the Daily Availability report, but grouped by day of the week. This can help you get a sense of your availability ratio on each day of an average week.

Hourly Availability Distribution

The Hourly Availability report provides you with the total number of minutes available vs. minutes booked during the reporting period, grouped by hour of the day. This can help you get a sense of your availability ratio on each hour of an average day.

Daily/Hourly Availability Distribution

The Daily/Hourly Availability Distribution report shows the availability ratio for each hour of each day of the average week. This allows you to compare the availability ratio at different times of each day. For example, this could tell you which day of the week has the highest availability ratio at 1pm.

Booking Data reports

The Bookings Data reports allow you to analyze the distribution of your bookings by month, day, and hour, broken down by booking status. This will give you the overall volume of your bookings over time.

Bookings by Month

The Bookings by Month report provides a distribution of your bookings by status, grouped by month of the year. This includes the total number of bookings submitted, confirmed/approved, and cancelled/denied. To view totals for each specific booking status, click on View Detailed Monthly Breakdown by Booking Status.

Note: statistics are calculated based upon when the bookings occurred -- not the date the bookings were placed. For example, if someone booked an item for March 19, and that booking was submitted on February 28, then March 19 would be the date used in the statistics.

The Bookings by Day of the Week report provides a distribution of your bookings by status, grouped by day of the week. This includes the total number of bookings submitted, confirmed/approved, and cancelled/denied.
