LibCal statistics: Calendars & Events

The statistics for your Event Calendars are broken down into three separate reporting areas: 

  • Calendar Aggregates: shows monthly calendar-level statistics for total events, registrations, attendance, cancellations, etc.
  • Event Aggregates: shows aggregate totals for event registrations, attendance, etc. As well as reports on the events assigned to categories, audiences, and campuses.
  • Individual Events: shows detailed statistical information about a particular event.

Calendar Aggregates

To analyze your aggregate calendar statistics, go to Stats > Events > Calendar Aggregates.

Filtering and exporting statistics

By default, the report will show year-to-date stats for all calendars. However, you can filter these stats for a more focused analysis.

  1. Use the From and To fields to adjust the date range of the report.
  2. Use the Calendar field to filter the stats to only public calendars, only internal calendars, or only a specific calendar.
  3. Use the Campus field to filter by site. (Note: this field will be labeled the same as your Multiple Sites Label under Admin > Calendars > Campus, so it may not say Campus in your stats.)
  4. Use the Internal Tag field to include only those events assigned to a specific internal tag.
  5. Use the Audience field to include only those events assigned to a specific audience type.
  6. Use the Category field to include only those events assigned to a specific category.
  7. Click the Go button to apply your filters and update your statistics.
  8. To export a CSV file containing your statistics (excluding charts), click the  Export Data button.

Summary report

The Summary report provides you with a big picture overview of your calendar data during the reporting period, including:

  • The total number of events
  • The total number of confirmed registrations
  • The total number of waitlisted registrations
  • The total number of canceled registrations 
  • The total anticipated attendance of all events (i.e. the values entered in an event's Anticipated Attendance field)
  • The total recorded actual attendance of events (i.e. the values entered in an event's Actual Attendance field)
  • The total number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)

Summary report 

Monthly Distribution report

The Monthly Distribution report provides you with a breakdown of your events for each month of the reporting period, including:

  • The total number of events
  • The total number of confirmed registrations
  • The total number of waitlisted registrations
  • The total number of canceled registrations 
  • The total anticipated attendance of all events (i.e. the values entered in an event's Anticipated Attendance field)
  • The total recorded actual attendance of events (i.e. the values entered in an event's Actual Attendance field)
  • The total number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)

This report also includes charts showing the distribution of events by calendar, and the registrations by status (confirmed vs. canceled).

Day of the Week Distribution report

The Day of the Week Distribution report provides you with a breakdown of your events, grouped by day of the week during the reporting period, including:

  • The total number of events
  • The total number of confirmed registrations
  • The total number of waitlisted registrations
  • The total number of canceled registrations 
  • The total anticipated attendance of all events (i.e. the values entered in an event's Anticipated Attendance field)
  • The total recorded actual attendance of events (i.e. the values entered in an event's Actual Attendance field)
  • The total number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)

This report also includes charts showing the distribution of events by calendar, and the registrations by status (confirmed vs. canceled). 

Hourly Distribution report

The Hourly Distribution report provides you with a breakdown of your events, grouped by hour of the day during the reporting period, including:

  • The total number of events
  • The total number of confirmed registrations
  • The total number of waitlisted registrations
  • The total number of canceled registrations 
  • The total anticipated attendance of all events (i.e. the values entered in an event's Anticipated Attendance field)
  • The total recorded actual attendance of events (i.e. the values entered in an event's Actual Attendance field)
  • The total number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)

This report also includes charts showing the distribution of events by calendar, and the registrations by status (confirmed vs. canceled). 

Daily/Hourly Distribution report

The Daily/Hourly Distribution report provides you with a breakdown of your events, grouped by hour and day of the week during the reporting period. For example, if you wanted to know how many events you had at noon on Wednesdays, this report would provide you with that total.

Campus Distribution report

The Campus Distribution report provides you with a monthly breakdown of your events, grouped by campus during the reporting period. (Note: your report will use the name of your Multiple Sites Label from Admin > Calendars > Campus, so it may not say Campus.)

Audiences Distribution report

The Audiences Distribution report provides you with a monthly breakdown of your events, grouped by audience during the reporting period.

Category Distribution report

The Category Distribution report provides you with a monthly breakdown of your events, grouped by category during the reporting period.

Individual Calendars Monthly Breakdown report

The Individual Calendars Monthly Breakdown report provides you with a breakdown of your events, grouped by month during the reporting period, including:

  • The total number of events
  • The total number of confirmed registrations
  • The total number of waitlisted registrations
  • The total number of canceled registrations 
  • The total anticipated attendance of all events (i.e. the values entered in an event's Anticipated Attendance field)
  • The total recorded actual attendance of events (i.e. the values entered in an event's Actual Attendance field)
  • The total number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)

This report also includes shortcuts to view each calendar and its Event Explorer.

To analyze your aggregate event statistics, go to Stats > Events > Event Aggregates.

Daily/Hourly Distribution

The Daily/Hourly Distribution report provides you with a breakdown of your events, grouped by hour and day of the week during the reporting period. For example, if you wanted to know how many events you had at noon on Wednesdays, this report would provide you with that total.

Campus Distribution report

To analyze statistics for an individual event, go to Stats > Events > Individual Events.

Generating a report

To view statistics for a specific event:

  1. In the Event Date field, select the date the event occurred.
  2. Optionally, use the Title field to limit your search to events with certain keywords in their titles.
  3. Click the Find Event button.
  4. From the Select Event dropdown, choose the event you want to analyze.
  5. Click the Go button.

Viewing and exporting statistics

  1. An overview of the event will display, including:
    • The event title and description
    • The date and time of the event
    • The location and campus of the event
    • The categories and audiences assigned to the event
    • The anticipated attendance for the event (i.e. the value entered in the event's Anticipated Attendance field)
    • Links to the events admin and public pages
  2. The Registration Summary will give you an overview of the event's registrations, including:
    • The anticipated attendance
    • The recorded actual attendance (i.e. the value entered in the event's Actual Attendance field)
    • The number of registrations
    • The number of confirmed attended registrations (i.e. those registrations marked as Confirmed Attended)
    • The number of cancelled registrations
    • The date of the first registration
    • The date of the last registration
  3. The Public Event Page Views chart is a bar graph displaying the number of views the event's page received, alongside the total number of hits recorded via all APIs. This can give you a better understanding of how much interest there was in the event, especially if you did not enable registration.
  4. To download your event's data to a CSV file, click on the  Export Data button.
