LibCal statistics: Patron activity

The Patron Activity statistics, which are available only to Admin users, provide you with the aggregate number of users who have:

  • Registered for events
  • Scheduled appointments
  • Booked spaces (i.e. bookings with a status of Confirmed or Mediated Approved, regardless of "User showed up" status)
  • Booked equipment (i.e. bookings with a status of Confirmed, Mediated Approved, Checked Out, and Checked In)

You can also filter the report to a specific user, allowing you to see that person's activity across your LibCal system in one handy report. (Please note that cancelled registrations, appointments, and bookings are not counted in the Patron Activity statistics.)

To get started, log into LibCal and go to Stats > Patron Activity.

The default report, which you can filter by date range, displays the distribution of users by month, day of the week, hour of the day, and by weekday/hour. Each data table is accompanied by an interactive chart, allowing you to visualize the data over time. 

  1. Use the From and To filters to customize the dates included in your report. When finished, click the Go button to update the statistics.
  2. To export the data tables to CSV, click on the Export Data button.

The Summary report provides the total number of users during the reporting period, broken down by appointments, event registrations, space bookings, and equipment bookings.

Patron activity summary table

The Monthly Distribution report provides the total number of users with scheduled appointments, event registrations, space bookings, and equipment bookings, distributed over each month of the reporting period. This is determined using the date that the appointment, event, or booking started -- not when the patron submitted their registration or booking. For example, if an equipment booking was made that spanned multiple days, the starting date for the booking is what is recorded.

Below the data table is an interactive stacked chart.

  1. Hover over a category to view its total.
  2. Click on any category in the legend to show/hide it in the chart.
  3. Click on the hamburger () menu for printing and export options.

The patron activity monthly distribution report

The Day of the Week Distribution report provides the total number of users with scheduled appointments, event registrations, space bookings, and equipment bookings, grouped by day of the week. This is determined using the date that the appointment, event, or booking started -- not when the patron submitted their registration or booking. For example, if an equipment booking was made that spanned multiple days, the starting date for the booking is what is recorded.

The Hourly Distribution report provides the total number of users with scheduled appointments, event registrations, space bookings, and equipment bookings, grouped by hour of the day. This is determined using the time that the appointment, event, or booking started -- not when the patron submitted their registration or booking. For example, if an equipment booking was made that spanned multiple days, the starting date for the booking is what is recorded.

The patron activity hourly distribution

The Daily/Hourly Distribution report provides the total number of users with scheduled appointments, event registrations, space bookings, and equipment bookings, distributed by day of the week and hour of the day. This is determined using the date that the appointment, event, or booking started -- not when the patron submitted their registration or booking. For example, if an equipment booking was made that spanned multiple days, the starting date for the booking is what is recorded.

There are two separate tab groups for Appointments, Events, Spaces, and Equipment.

  1. The top group contains a table showing the corresponding totals, with each row representing a day of the week and each column an hour of the day.
  2. The bottom group contains interactive line charts. Each line represents a day of the week, with the x-axis representing each hour of the day. This allows you to identify which hours of each day had the most activity system-wide.
    1. Hover over a line to view its hourly total.
    2. Click on any day of the week in the legend to show/hide it in the chart.
    3. Click on the hamburger () menu for printing and export options.

View activity for a single user

When you filter the report by a specific user, the report will provide you with the monthly distribution of events, appointments, and bookings just for that one user. You'll also find a complete list of the event registrations, appointments, and bookings that user made during the reporting period, as well.

  1. To get started, set your date range with the From and To filters.
  2. Then, enter the user's email address in the User field and click the Go button to refresh the page.
    • Please note that this uses an exact match, so please enter the patron's full email address.
  3. To export the data tables to CSV, click on the Export Data button.

Below the Monthly Distribution report, you'll find a history of the patron's activity included in the Monthly Distribution totals. This data is organized in separate data tables for Appointments, Events, Space Bookings, and Equipment Bookings.
