Viewing a location's space and seat utilization dashboard

The Utilization Dashboard allows you to monitor the current capacity of the spaces (and the seats within spaces, when applicable) of the location that you are viewing. You can use these numbers to help manage your social distancing policy and to quickly see how many spaces and seats are being used by your patrons.

Upon loading the dashboard, the page will show you the occupancy details for all zones and categories within the selected location, but you can use the Zone and Category filters to narrow the focus of the utilization details to a specific set of spaces. The utilization numbers shown on the dashboard will reflect the booking totals for the location at the time the page is loaded.

In addition to showing the current occupancy details, the dashboard displays the most recent Booking Activity -- showing new bookings, check-ins, and check-outs.  Each booking record can be clicked on to show the booking's details from where you can manually check the patron in/out for their booking. 


Viewing and filtering the Utilization Dashboard

To view the utilization dashboard for a location:

  1. Click on Spaces in the command bar.
  2. Select the Location you wish to view.
  3. Optionally, filter the dashboard to spaces within a particular Zone.
    • The default selection is to show All Zones and spaces not assigned to any zone.
  4. Optionally, select the Category from the location you wish to view.
    • The default selection is to show spaces from All Categories.
  5. Click the Go button to reload the dashboard if you made any changes to the Zones and/or Categories.

Zone Occupancy Details

The figures shown in the Zone Occupancy Details section of the dashboard indicate the current (at the time when you load the page) utilization of the spaces contained in the selected zones. Details include:

  1. The "as of" time indicates the time that the dashboard was loaded. All occupancy and capacity details shown on the page are calculated off of that time.
    • If you want to see updated totals refresh the page in your browser.
  2. The bookable spaces and seat values at the top of the page allow you to quickly see location-level totals for occupied vs. available spaces and seats.
    • The first number represents the number of currently occupied spaces/seats.
    • The second number is the number of spaces/seats available to be booked (active).
    • And the third number is the total number of spaces/seats defined for this location.
  3. Each zone in the location will be displayed in its table and provide a breakdown of the occupancy, capacity, and occupancy percentage for each space with the zone. This includes:
    • Bookable Space: indicates whether the space is bookable as a whole space or if it is a container space with seats.
      • If the space is bookable, it will display a .
      • For sites that do not have the Seat Booking module enabled, all spaces will be listed as bookable.
    • Current Occupancy: shows the current number of users in the space. 
      • For bookable spaces, the value shown (when occupied) is based on the capacity that has been set for the space.
      • For container spaces, the value shown will be based on the number of seats within the space that are currently booked and in use.
    • Allowed Capacity:
      • For bookable spaces, the value shown is the current capacity that has been set for the space.
      • For container spaces, the value shown is the current number of active seats within the space.
    • Maximum Capacity:
      • For bookable spaces, the value shown is the maximum capacity that has been set for the space.
      • For container spaces, the value shown is the total number of seats in the space, both active and inactive.
    • Occupancy vs Allowed: percentage value is based on the current occupancy divided by the allowed capacity for the space.
    • Occupancy vs Maximum: percentage value is based on the current occupancy divided by the maximum capacity for the space.
  4. Any spaces that haven't been assigned to a zone will be displayed in the Spaces not assigned to any Zone table.

Booking Activity

The right-hand side of the dashboard displays the most recent Booking Activity. In this area, you can view the most recent activity for the spaces and seats within the location. Booking records that are shown include:

  1. New Booking: shows the time of the booking being made, the name of the space/seat being booked, and the email address of the patron.
  2. Check In: shows the time that the patron checked into their booking, the name of the space/seat they booked, and their email address.
  3. Check Out: shows the time that the patron checked out for their booking, the name of the space/seat they had booked, and their email address.
Tip: if you need to manually check a patron in or out of their booking, the booking record title can be clicked on. This will show the booking's details from where you can check them in/out. You can also add internal notes, cancel the booking, or edit the booking form details from here.
