How to change a seat booking's seat, start time, or end time

To update seat bookings via the staff interface:

  1. Click on Spaces in the command bar.
  2. Click on the Booking Grid & Availability tab.
  3. Select the Location you wish to view.
  4. From the filters, first select the Category and Space containing the seats you want to view. (You can also filter by Zone if you'd like, but it's not required.)
  5. Click the Go button to load the booking grid.

Please note: your category booking limits do not apply to bookings created via this page. This means staff users can create bookings that start/end beyond your opening hours, exceed your maximum durations, override daily/weekly/monthly limits, etc.

Option 1. Via the Booking Grid & Availability tab

  1. To view a booking, click on its time slot in the availability table. This will display its Booking Details below the table.

  1. In the Booking Details panel, click on the Date/Time of the seat booking you want to modify.

  1. The Update Booking dialog box will appear. From here, you can select a different seat and/or booking times:
    1. Use the New Seat dropdown to select a different seat. (Please note that you may have to adjust the times based upon the availability of the new seat.)
    2. Use the New Start Date/Time field to adjust the starting time of the booking.
    3. Use the New End/Due Date field to adjust the ending time of the booking.
    4. If you would like to also send the patron an email about these changes, select the Send confirmation email to user checkbox.
    5. If you opted to send an email, use the Additional Information to add a message to the notification. This will be included in the location's "Confirmed" email template wherever the {{{ADDITIONAL_INFORMATION}}} token is inserted.
  2. Click the Update Booking button.

Option 2. Via the Booking Explorer tab

  1. Click on the Booking Explorer tab.
  2. Select the location, zone, category, and/or the specific space you want to view.
  3. Use the filters to locate the booking you want to edit and click the Go button.
    • If you selected a zone, category, and/or space in Step 2, you will need to click Go to filter the explorer.
  4. Click on its date/time in the To column.

  1. In the Update Booking modal, you can select a different seat and/or booking times:
