Appointments: Configure the default booking limits for users

Admins can set the default permissions for the booking limits for Appointments module users to control how many appointments a patron can make daily, weekly, monthly, and yearly. The limits set here work together, for example, you may wish to enforce a maximum of 20 appointments per month and also enforce a maximum of 10 appointments per week. Set a value to 0 to disable that limit.

These limits all relate to an individual patron, identified by either an email address or LibAuth username. Additionally, you can choose whether the scope of the limits is tied to the number of appointments that can be made with each individual user or for the number of appointments that can be made with all users. 

While the values you set here will be the default permissions for all Appointments users, if a user has a value set on their account then that per-user value will take priority over the values set on this page. To assist with tracking which users have set up custom limits or disabled limits altogether, the User Limits Overview box provides a breakdown of the limits for all Appointments users.


Set the system default booking limits

To manage the default booking limits:

  1. Go to Admin > Appointments.
  2. Click on the Booking Limits tab.

  1. In the System Defaults box, configure the scope and limits for the number of appointments that can be made by a patron:
    1. Limit Scope: choose whether the appointments made by a patron with all users should count towards the same limit, or if each user has their own separate count. 
      • Per User: each user has their own separate count.
      • All Users: appointments with all users count towards the same limit.
    2. Daily Limit: the number of appointments an individual patron can make per day.
    3. Weekly Limit: the number of appointments an individual patron can make per week.
    4. Monthly Limit: the number of appointments an individual patron can make per month.
    5. Yearly Limit: the number of appointments an individual patron can make per year.
  2. Click Save.

User Limits Overview

The User Limits Overview box provides a breakdown of the limits currently in place for all Appointments users. This overview allows you to quickly see which users are using the system default limits, which have custom limits set (and what those limits are), and which have chosen to disable appointment limits altogether for their account. 

  1. View the type of limits being used by a user
  2. For users using Custom limits, the Custom Summary column will show those limits
  3. Click the Edit Settings () icon in the Action column for a user to jump to their per-user settings to adjust/edit their booking limits as needed.
  4. Use the Search box to quickly find a user's current limits.
