E-Reserves: Add and assign copyright statuses

Assigning copyright statuses to items can help you determine whether or not an item can be used in a course. You can create as many different statuses as you'd like, such as:

  • Public domain
  • Permission pending
  • Permission paid
  • Permission denied

Before you begin, you may find it helpful to map out your typical copyright workflow to create statuses that work best for your library. Once you've created your statuses, you'll be able to assign them to your items.


Create a new copyright status

  1. Go to Content > E-Reserves.

  1. Click on the Copyright tab.
  2. Click on the  Manage Copyright Statuses button.

  1. In the Add/Edit Copyright Status window, start by giving your new status a Name.
  2. In the Notes field, you can provide more info about this status, what it means, next steps, etc.
  3. Click the Save button.

Edit or delete a copyright status

Options to edit or delete a status

  1. To edit the name or notes of a status, click on its Edit Copyright Status () icon in the Actions column.
  2. To permanently delete a status, click on its Delete Copyright Status () icon in the Actions column.
    • You will be prompted to either reassign all items currently using that status to another status, or change those items to Unassigned.
    • The Item Status column will indicate how many items are currently assigned to a status.

Assign a copyright status to an item

All users can manage the copyright status of their own items (Admins can edit the status of any item). This can help you keep track of where in the copyright process an item is, especially if you need to pay fees in order to place an item on e-reserve.

There are two ways you can manage the copyright statuses of your items:


Via the Copyright tab

  1. Under Content > E-Reserves, click on the Copyright tab.
  2. Under the Copyright tab, you'll see a list of all items currently added to your courses. If an item has been added to multiple courses, each mapping will be listed separately so you can track the permission for each course.
    1. By default, only items that have been assigned a copyright status will display. To include items not currently assigned to a status, select the Display mappings where the Copyright Status is Unassigned​ checkbox.
  3. To edit an item's status, click on the ​Edit () icon in the Actions​ column.
    • The current status of each item will display in the Copyright column.

  1. In the Manage Copyright​ window, select the appropriate option from the Copyright Status​ dropdown.
  2. Save your changes.

While editing a course's items

To view and manage copyright for just a single course's items:

  1. Under the Courses tab, you can view and edit a course's items by either:
    1. Clicking on its name in the Course Name column.
    2. Clicking on its Edit Course Items () icon in the Actions column.

  1. Click on the Manage Copyright button.

  1. To edit an item's status, click on the ​Edit () icon in the Actions​ column.
    • The current status of each item will display in the Copyright column.

  2. Save your changes.
