Assets: edit, delete, and export the assets in your system

The assets library is where all reusable assets are stored in your LibGuides system. From here, you can centrally manage your assets, as well as create new ones.


Getting to the assets library

To view your assets library, go to Content > Assets.

Edit an asset

  1. Go to the Content Items tab.
  2. Use the filters at the top of the page to filter the assets library (such as by type or owner).
    • TIP: You can use the Description/Metadata filter to search the HTML code of Media/Widget assets!

  1. To edit an asset, click on its Edit () icon in the Actions column.
    • Changes made to the asset will be reflected everywhere the asset is being used.
    • The only exception is if a mapping of the asset is using a custom description. In that case, the custom description will continue to display on that guide.

Delete an asset

 Be careful when deleting assets!

Deleting an asset from the Content > Assets page will permanently remove it from your system and cannot be undone.

  • If the asset is being reused (i.e. mapped) on other guides, deleting that asset will also remove it from those guides. The Mapping Count column will indicate the number of guides where an asset is being reused.
  • Statistics for deleted Link, Document/File, and Book assets will be retained. They will appear in your Assets statistics by their ID number and a name of "[deleted]".
  • Only an Admin, an asset's owner, or a regular user with the Manage Assets permission (CMS only) can delete an asset.

To delete an asset from your assets library as well as from any guides mapped to it:

  1. Go to the Content Items tab.
  2. Locate the asset you want to delete and click on its Delete () icon in the Actions column.

  1. Review the Delete Asset window, which will indicate all of the locations where that asset is being used.
    • Deleting the asset will remove the asset from each of the guide locations listed.
  2. To proceed, select the checkbox next to I understand that this cannot be undone.
  3. Click the Delete button.

Export a list of assets

Click on the Export All Records button to export the filtered list of records in either HTML or CSV format.

  • To export your entire asset library, be sure to reset any filters you applied to the list.
