E-Resources Management: Add & manage platforms

In E-Resources/COUNTER 5 datasets, E-Journals/Databases (COUNTER 4) datasets, and eBooks (COUNTER 4) datasets, usage and cost data are organized by platform. When setting up these datasets, you'll have the option to add your platforms manually or import them from another dataset or your central platforms list.

Importing platform information can save you time, especially if you have the same platform represented in multiple datasets. By setting up your central platforms list before creating your datasets, you can make it easier to get started using LibInsight to manage your e-resources data.

Admin-level users can add and manage the central platforms list by going to Admin > E-Resources Management and clicking on the Platforms tab.

Add a new platform

To add a single platform to your list:

  1. Under the Platforms tab, click on the Add New Platform button.

  1. On the New Platform page, enter a name for the platform in the Name field.

  1. Enter the name of the platform's vendor in the Vendor field.
  2. Optionally, you can enter notes about this platform in the Internal Notes text area.
  3. Optionally, enter a URL for this platform in the URL field. These URLs could be for the platform's public interface, admin interface, stats interface -- basically, any URL you want to keep track of.
    1. You can add additional URLs by clicking on the plus () button.
  4. Optionally, in the Purchased From field, you can enter the vendor, package, or other provider where the platform was purchased from.
  5. Optionally, you can select the Default SUSHI Provider for this platform. When fetching data via SUSHI for a dataset, this will be the provider selected by default.
    • Note: to select a provider, you must first add providers in your E-Resources Management settings.
    • SUSHI providers are added separately to LibInsight based on whether they are COUNTER 4 or COUNTER 5 compliant. This will be indicated in parentheses next to each provider's name in the dropdown menu.
  6. Click the Save button.

Bulk upload platforms

In addition to adding platforms individually, you can also bulk upload platforms using a CSV template. 

  1. Under the Platforms tab, click on the Upload Platforms button.

  1. On the Upload Platforms page, click on the template link to download a starter CSV file. This file will include the required column headings with an example platform.
    • You can also create your own spreadsheet to use. Just make sure it has the following values in row 1:
      • Column A: name
      • Column B: vendor
      • Column C: internal_notes
      • Column D: url
      • Column E: purchased_from
    • In the spreadsheet, enter each platform's info starting in row 2, with one platform per row.
    • Be sure to save the spreadsheet in CSV (Comma delimited) format. You cannot upload XLS or XLSX files.
  2. Once your CSV file is ready, return to the Upload Platforms page, click on the Choose File button, select your file, and click the Upload and Analyze Data button.

  1. After the CSV file has been processed, a table will appear showing each platform in your spreadsheet. Select the checkbox next to each platform you want to upload to LibInsight.
    1. To select all platforms at once, click on the checkbox at the top of the table.
  2. Optionally, if you would like to set a default SUSHI provider for a platform, you can select it from the dropdown in the SUSHI column.
    • Note: to select a provider, you must first add providers in your E-Resources Management settings.
    • SUSHI providers are added separately to LibInsight based on whether they are COUNTER 4 or COUNTER 5 compliant. This will be indicated in parentheses next to each provider's name in the dropdown menu.
  3. Click on the Upload Platforms button.

Edit and delete platforms

To manage your platforms, under the Platforms tab:

  1. Click on the edit () button in the Actions column to change the platform's information.
  2. Click on the delete () button in the Actions column to remove the platform from the list.

Please note: editing or deleting a platform will not affect datasets that have previously imported that platform's information. When you import a platform into a dataset, a copy is made of the platform's information -- it is not connected to the platforms list on your E-Resources Management page.

In the Platform Name column, some platforms will display a Used In list below their name.

The Used In list will show you each E-Resources/COUNTER 5 dataset the platform was imported to. Clicking on the name of a dataset will take you to the Record Data page for that platform.

  • Please note that imports made prior to this feature's release on January 13, 2021 will not be reflected in a platform's Used In list.
  • Imports to eBooks - r4 and E-Journals/Databases - r4 datasets will not be included in a platform's Used In list.

If an imported platform is subsequently removed from a dataset, then the dataset will be removed from that platform's Used In list, accordingly.
