LibWizard datasets: Create and manage datasets
The LibWizard dataset allows you to import information about form submissions from your LibWizard site for in-depth analysis of how your forms are used. When creating the dataset, you will choose the individual LibWizard forms, surveys, quizzes, and tutorials—collectively called "forms"—that you want to include. The submission data from these forms will sync on a nightly basis and allow you to view:
- A breakdown of submissions by month or year.
- The distribution of submissions by day of the week, weekend vs. weekday, and month.
- Trends in your submissions over time, with year-over-year comparisons.
These datasets are ideal for getting a bird's-eye view of your LibWizard form usage, especially when you need to analyze trends over time. It's important to note that the LibWizard dataset provides a general overview of submission trends—not the content of the submissions themselves. For detailed analyses of the submission content of individual forms, surveys, quizzes, and tutorials, you'll want to continue consulting the submission reports in LibWizard.

Create a new LibWizard dataset
To create a new LibWizard dataset:
- Go to Admin > Manage Datasets.
- Click the Add New Dataset button.

- Select LibWizard from the dataset type dropdown.
- Click the Next button to continue.

- Give your dataset a Name.
- Optionally, add a brief description to help explain the purpose of the dataset (up to 255 characters).
- Click on the Next button to continue.
- At this point, your new dataset will be created. The following sections allow you to configure it further.

Define permissions
All Admin-level users have access to administer, record to, and analyze all datasets, while Regular users have no default access to newly created datasets. The Define Permissions page allows you to give permission to this dataset for Regular users.
- Who can define metadata and administer this dataset: This determines who can manage this dataset.
- By default, all admin users have this permission. However, you can select one or more regular-level users, as well.
- Each user with this permission will also be able to add and analyze records, as well.
- Who can add records to this dataset: This determines which users can add new records to the dataset.
- By default, all admin users have this permission. However, you can select one or more regular-level users, as well.
- This does not automatically give users the ability to analyze records.
- Who can use this dataset in analysis and dashboards: This determines who has the ability to analyze this dataset and use it in dashboards.
- By default, all admin users have this permission. However, you can select one or more regular-level users, as well.
- Click the Next button to continue. You can always edit this dataset later to modify your permissions.

Set up LibWizard system
Next you will connect the dataset to your LibWizard system.
- On the Setup LibWizard System page, click the Import LibWizard System button.

- On the Import LibWizard Sytems modal, select the LibWizard site to import into the dataset.
- If your LibApps system includes multiple LibWizard sites, they will all be listed here, but only one LibWizard system can be used per dataset.
- Click the Import button.

Your selected LibWizard system will now be connected to the dataset. To start the actual data import, you'll first need to select and import specific LibWizard forms.
Import forms, surveys, quizzes, and tutorials
The last step is to select which LibWizard forms to import.
- Click the menu icon in the Actions column.
- Select Manage Forms.

- Click the Import Forms tab.
- Select the desired Type: Forms, Quizzes, Surveys, or Tutorials.
- You can import from only one type at a time but can repeat Steps 4-6 to select other types as needed to have a mix of form types in your dataset.
- Check the box next to one or more desired forms that you want to import.
- Check the box in the heading column to select all forms on the page.
- Use the search box to search for a form by name, ID, or creation date.
- Click the Import Forms button.

The selected forms will be appear in the Manage Forms tab. To import more forms (of a different type or otherwise), return to the Import Forms tab and repeat steps 4-6 above.
Once you select specific LibWizard forms, LibInsight will fetch your data for those forms up to the current date. New data will automatically be added overnight for the previous calendar day.
Manage a LibWizard dataset
LibWizard datasets are managed at two levels: from the Admin > Manage Datasets page and when on the Edit Dataset page (accessed via the Manage Datasets page).
From the Admin > Manage Datasets page, select the menu icon ( ) in the Actions column to see your options:
- Click Edit Dataset to edit the dataset's name, permissions, and LibWizard system information.
- Click Change Owner to select a new owner for the dataset.
- Note: Only Admin-level accounts can own a dataset.
- Click Empty Dataset to empty the data from the dataset.
- This will permanently delete the fetched data for the LibWizard system selected, but the system itself will remain.
- Click Delete Dataset to delete the entire dataset.
- Be careful! This will permanently delete the dataset and all of its data.

When editing the dataset, select the menu icon ( ) in the Actions column to see your options:
- Click Edit System Name to edit the system's name in the dataset.
- Click Manage Forms to manage the specific LibWizard forms that are being imported.
- Click Empty Data to empty the data from the dataset.
- This will permanently delete the fetched data for the LibWizard system, but the system itself will remain.
- Click Delete System to delete the LibWizard system from the dataset.
- Be careful! This will permanently delete the system and its data.

Manage the dataset's imported forms, surveys, quizzes and tutorials
When editing the dataset, you can manage the specific LibWizard forms being imported into the dataset.
- Click the menu icon in the Actions column.
- Select Manage Forms.

- On the Manage Forms tab, locate a desired form and select its menu icon in the Actions column.
- Select Edit Form to change the form's name.
- Select Delete Form to permanently remove the form and all of its data from the dataset.
- If needed, go to the Import Forms tab to select new forms, surveys, quizzes, and tutorials to add to your dataset.
