Creating a Calendaring dataset

Getting there

To create a new dataset, go to Admin > Manage Datasets and click the Add New Dataset button.

1. Select Dataset Type

  1. Select Calendaring from the dataset type dropdown.
  2. Click the Next >> button to continue.

2. Describe Dataset

  1. Give your dataset a name.
  2. Optionally, add a brief description to help explain the purpose of the dataset (up to 255 characters).
  3. Click on the Next >> button to continue. At this point, your new dataset will be created. The following steps will allow you to configure it.

3. Define Permissions

  1. Who can define metadata and administer this dataset: this determines who can manage this dataset. By default, all admin users have this permission. However, you can select one or more regular-level users, as well. To select multiple users, press CTRL and click on their names. Each user with this permission will also be able to add and analyze records, as well.
  2. Who can add records to this dataset: this determines which users can add new records to the dataset. By default, all admin users have this permission. However, you can select one or more regular-level users, as well. To select multiple users, press CTRL and click on their names. This does not automatically give users the ability to analyze records.
  3. Who can use this dataset in analysis and dashboards: this determines who has the ability to analyze this dataset and use it in dashboards. By default, all admin users have this permission. However, you can select one or more regular-level users, as well. To select multiple users, press CTRL and click on their names.
  4. Click the Next >> button to continue. You can always edit this dataset later to modify your permissions.

4. Set Up Calendaring Systems

Connecting your LibCal system

  1. Click on the  Add New Calendaring System to This Dataset button.
  2. Give your new system a Name.
  3. From the Type dropdown, select LibCal.
  4. Enter your LibCal Site ID. You can find this in a couple of spots:
    • From the LibApps Dashboard, in the My LibApps box.
    • From the Admin > System Settings page in LibCal, under System Settings > Institution Information.
  5. Click the Add System button.

Once you add your system, LibInsight will fetch your data up to the current date. New data will be automatically be added overnight for the previous calendar day.

Manually entering calendaring data

If you do not subscribe to LibCal, you have the option of manually entering stats for your bookings, events, and librarian appointments. You just need to add a Manual Entry system to your dataset.

  1. Click on the  Add New Calendaring System to This Dataset button.
  2. Give your new system a Name.
  3. From the Type dropdown, select Manual Entry.
  4. If you'd like to customize the label used for your room booking stats, enter it in the Room Bookings field.
  5. If you'd like to customize the label used for your librarian appointment stats, enter it in the Librarian Appointments field.
  6. If you'd like to customize the label used for your event stats, enter it in the Events field.
  7. If you'd like to customize the label used for your space booking stats, enter it in the Spaces field.*
  8. If you'd like to customize the label used for your equipment booking stats, enter it in the Equipment field.
  9. Click on the Save System button.

* What's the difference between Room Bookings and Spaces? That's up to you! You can choose to record data in one or both fields, depending upon your preference. For example, you could use Room Bookings to record the use of your study rooms, and Spaces to record use of your meeting, event, or classroom spaces. Or you could simply use one field for all of your room booking data, and the other for a different category of data entirely.

Managing calendaring systems

  1. To edit the settings for your system, click on the Edit System () button in the Actions column.
  2. To empty the data from your system, click on the Empty Calendaring System () button in the Actions column.
    • This will permanently delete the booking, appointment, and event data from your calendaring system, but the system itself will remain.
  3. To delete the system from your dataset, click on the Delete Calendaring System () button in the Actions column.
    • Be careful! This will permanently delete the system and its data.
