Workflow Forms: Create and manage your workflow forms

Admin users have the ability to create and manage workflow forms. By default, you can create up to 2 workflow forms at once. However, if you find that you need more, contact the Springy Sales Team to increase your limit. :)


Create a new form

  1. Go to Admin > Workflow Forms.
  2. Click on the Create New Form button. The Create New Form window will appear.
  3. Use the Form Name field to give your form a descriptive name. This is only displayed internally and not on the form's public page.
  4. Optionally, you can add a Form Description to provide additional details about this form. This is only displayed internally.
  5. In the Friendly URL field, give your form a unique URL slug. This will serve as the URL of the form's public page and can only contain letters, numbers, and dashes.
  6. In the Page Title field, enter a heading to display on the form's public page.
  7. In the Page Introductory Text box, you can provide optional information or instructions to display on the form's public page.
  8. In the Success Message box, you can customize the message that displays when a user successfully submits a workflow form.
  9. Click the Save button.

Once you've created your new form, you'll be taken to its Workflow Forms Setup page where you can customize the form further. Alternatively, you can manage/customize existing forms from the Admin > Workflow Forms page.

View the list of workflow forms and their public URLs

Both Regular and Admin users can view a complete list of available workflow forms by going to Forms > Workflow Forms List. This page will list each form along with its:

  • Title
  • Public page URL
  • Description
  • Status (i.e. Active or Closed)

This can be particularly helpful for Regular users, as it gives them quick access to the public URLs for your system's workflow form. For example, if a librarian needs to submit a travel request form for an upcoming conference, they can find the link right within LibStaffer.

Please note that users cannot access a form's settings from this page. In addition, Regular users still require access to a form in order to view its submissions.

Delete a workflow form

Only an Admin user can delete a workflow form. Here's how:

  1. Go to Admin > Workflow Forms and click on a form's edit () icon in the Actions column.

  1. Under the Info & Fields tab, click on the Delete Form button at the bottom of the Form Information box.

  1. The Delete Form window will appear, asking you to confirm your decision. To proceed with deleting the form, click the red Yes, Delete this form button.
