Viewing the Staff Current Status report

To ensure that everyone is on the same page about their colleagues' current clock-in status, the Staff Current Status page will provide a high-level overview to all staff members (regular and admin users) with the current clock in/out status for every user in your system, and information about the current and next scheduled shifts. Admins are also able to clock in/clock out individual staff members from here.

Clicking on a staff member's name in the report or selecting their name from the dropdown selection on the page allows Admins to be brought to that user's individual profile page. On this profile page, you will be able to view and perform the following functions for the staff member you selected:

  • Current status
  • Clock In/Clock Out this staff member
  • View their Dashboard of Upcoming shifts which will also allow you to Give up, Swap or Split shifts on their behalf.
  • View their upcoming time off

Viewing the Staff Current Status report

  1. Click on Staff in the LibStaffer navigation bar.
    1. Or, from the LibStaffer homepage, click the View Current Status of All Staff button on the dashboard.

  1. On the Staff Current Status page, you can use the filters at the top of the page to customize the report. 
    1. Use the Schedule filter to return the current status of staff for a specific schedule.
      • Please note: If All Schedules is selected and a staff member belongs to at least one schedule with the time clock enabled, they will not be listed when Status filter is set to ScheduledNot Scheduled, or Scheduled/Not Scheduled.
    2. Use the Staff Member filter to return the current status of an individual staff member.
    3. Use the Status filter to return staff members based on their current status. When a schedule has the time clock enabled, you can filter by a staff member's current clock in/out status. Otherwise, you will be able to filter by staff who currently scheduled or not.
      • Clocked In/Not Clocked In: when a schedule has clock in/out enabled, this will include both clocked in and clocked out staff.
      • All Status: this will include all staff, regardless of a schedule's time clock settings and a staff member's clock in/out status.
      • Clocked In: when a schedule has clock in/out enabled, this will only show staff members who are clocked in.
      • Not Clocked In: when a schedule has clock in/out enabled, this will only show staff members who are not clocked in.
      • Scheduled: when a schedule does not have clock in/out enabled, this will only show staff who are scheduled to be working at this time.
      • Not Scheduled: when a schedule does not have clock in/out enabled, this will only show staff who are not scheduled to be working at this time.
      • Scheduled/Not Scheduled: when a schedule does not have clock in/out enabled, will include staff who are both schedule and not scheduled at this time.
      • Off Today: the staff member is off today.
  2. Click the Run Report button to refresh the data table.
    1. Use the Search box to filter by keyword.
    2. To export this data to a spreadsheet, click on the CSV button.
    3. Use the columns in the report to sort and view information about each staff member's current status.
    4. Admins viewing the report can click on any user's name in the Name column or selecting them from the All Staff dropdown to view the profile page of that user.
    5. Admins viewing the report can also click on the Manual Clock In/Out () icon in the Action column to clock that user in or out of a shift.
      • Regular users can clock themselves in/out of their shifts from here as well.

Clocking a user in or out

If you are an admin, the Action column will display a Manual Clock In/Out () icon for any staff members that are currently clocked into a shift so that they can be clocked out, or if they are currently clocked out and can be clocked into that shift. Click on this icon to clock the person in or out, accordingly.

(Note: regular-level users will only see the Manual Clock In/Out icon for their own account.)

Give up, split, or swap a user's upcoming shifts

Admin users can give up, split, or swap upcoming shifts on behalf of any user. This can be extremely helpful, for example, if a staff member calls out sick: an Admin could log into LibStaffer and either give up or swap that person's shifts for the day, allowing other users to pick up or swap for those hours. As a result, the Admin doesn't have to manually switch around shift assignments in the schedule.

To manage another user's upcoming shifts:

  1. From the Staff Current Status report, click on the user's name in the from the Name column, or select them from the All Staff dropdown in the upper-right corner of the page.
  2. On the user's LibStaffer page, use the options in the Upcoming Shifts table to browse, give up, swapsplit the user's shifts, or cancel pending swaps and given up shifts.
