Schedules: Navigate, filter, overlay time off, and toggle between views for a schedule

View a single schedule

  1. Click on Schedules from the command bar.
    • The default schedule set in your account will be displayed on the Schedules page when you navigate there.
    • Shifts with the same start time will be listed alphabetically by shift name from left to right.
  2. Select the schedule you want to view from the Schedule for dropdown.
    • You can also use the search box in the dropdown to find the schedule by keyword.

Filter a schedule by shift status, staff member, or position

  1. Click on Schedules from the command bar.
    • Note: The default schedule set in your account, will be displayed on the Schedules page when you navigate there.
  2. Select the schedule you want to view from the Schedule for dropdown.
  3. From the All Shifts dropdown, select the shift status or staff member(s) that you want to filter the schedule by. 
    1. Filter by Shift Status: Allows you to view all shifts, scheduled shifts (shifts that have staff assigned to them), unfilled shifts, or shifts with favorites assigned to them. You can only filter by one status at a time and you cannot also filter by staff members.
    2. Filter by Staff Member: Allows you to view only the shifts for individual staff members that have been added to the schedule. You can select any number of staff members to view with this filter, but you cannot also filter by shift status.
    3. Filter by Position: Allows you to view only the shifts that have had specific positions assigned to them. You can select any number of positions to view with this filter, but you cannot also filter by shift status.

Navigate a schedule by day, week, or month

  1. Click on Schedules from the command bar.
  2. The default schedule set in your account will be displayed initially. However, you can select a different schedule to view from the Schedule for dropdown.
  3. Above the upper-left corner of the calendar, you'll find options to switch views and navigate between dates.
    • Click the Day, Week, or Month button to toggle between the views.
    • Navigate between time periods (days, weeks, or months depending on the view) with the Next () and Previous () buttons.
    • Click on the Go To Date button to navigate to a specific date on the calendar.
    • If you are viewing a past or future day/wee/month, click on the Today button to return to the current date.

View multiple schedules at once

  1. Click on Schedules from the command bar.
  2. Select Multi-Schedule View Only from the Schedule for dropdown.

  1. On the Multi-Schedule View page, select the schedules that you want to view from the Select Schedules dropdown on the left side of the page. A maximum of 8 schedules can be viewed at one time.
    • If all of the selected schedules use the same Calendar Start Day, then that day will be used in the multi-schedule view, as well. For example, if all of the selected calendars have a start day of Monday, then the multi-schedule view's calendar will also begin on Monday. If the selected schedules have different start days, then the multi-schedule view's calendar will begin on Sunday.
    • Shifts with the same start time will be displayed alphabetically by schedule name, then shift name from left to right.

  1. To view approved time off along with the selected schedules, click on the Overlay Time Off () button.

  1. Click on Schedules from the command bar.
  2. Select the schedule you want to view from the Schedule for dropdown.
  3. Click on the Overlay Time Off () button. The time off for any staff assigned to the schedule will display in dark green.​
    • Note: The time off overlay is also available for the Staff Timeline view, and can be used along with the Filter by Staff Member and Position filters.

Use the staff timeline view

  1. Click on Schedules from the LibStaffer navigation bar.
  2. The default schedule set in your account will be displayed initially. However, you can select a different schedule to view from the Schedule for dropdown.
  3. Click the  Staff Timeline button to enter the timeline view. This will display a timeline view of upcoming shifts for each staff member, broken down by day.

  1. Above the upper-left corner of the calendar, you'll find options to switch views and navigate between dates.
    • Click the DayWeek, or Month button to toggle between the views.
    • Navigate between time periods (days, weeks, or months depending on the view) with the Next () and Previous () buttons.
    • Click on the Go To Date button to navigate to a specific date on the calendar.
    • If you are viewing a past or future day/wee/month, click on the Today button to return to the current date.
  2. To return to the daily/weekly/monthly calendar view, click the Calendar View button.

Use the shift timeline view

  1. Click on Schedules from the command bar.
    • Note: The default schedule set in your account, will be displayed on the Schedules page when you navigate there.
  2. Select the schedule you want to view from the Schedule for dropdown.
  3. Click the Shift Timeline button to enter the timeline view.

While on the Shift Timeline view, you can:

  1. Use your mouse to navigate between days and expand the number of days displayed by clicking and dragging in the timeline (to go forward/backward through the timeline) and scrolling (to expand/retract the number of days displayed).
  2. Or use the buttons in the bottom right corner of the timeline to navigate between days and expand the number of days displayed.
  3. Apply shift status, staff member, or position filters from the All Shifts dropdown.
  4. Return to the calendar view by clicking the  Calendar View button.
