Managing LibCRM system settings & user accounts

In the LibCRM Manage Accounts, Manage Emails, Manage Integrations, and System Settings pages, Admin users will find options for customizing a variety of administrative settings. This includes:

  • Adding and managing accounts
  • Manage system emails for non-valid email addresses
  • Your integrations with other Springy apps.
  • Setting the format of dates and times.

Whether you're a brand new Admin or simply need a refresher, this Springboard will provide an overview of your LibCRM accounts, system emails, and Springy integrations, settings for date/time formatting, and how to configure them.

Adding and managing accounts

When you add a user account to LibCRM, you can assign it one of two permission levels: admin or regular. Below is a summary of permissions for each level of user account.

Managing system emails

The Manage System Emails page allows you to view a list of all emails that have been sent from LibCRM where at least one email address was not valid -- resulting in a bounced email. In the Current List of System Emails box, you can edit (or delete) the interaction that generated the bounced email or view the profile(s) of the People involved in the interaction.

At the top of the page, you'll also find your system's System Email address. When sending an email to a person or organization from your email app or webmail client, CC'ing this address will add the email as an interaction to the corresponding person/organization profile in LibCRM.

Managing your Springshare integrations

LibCRM allows you to keep track of your interactions with users, even when they happen in your other Springy apps. Currently, LibCRM can integrate with your LibCal and LibAnswers systems to automatically add interactions to your LibCRM profiles.

  • LibAnswers: When a patron Completes a question form, Sends an email, SMS/Text or LibChat in LibAnswers, that activity will be recorded as an interaction in LibCRM with a link to more details in the LibAnswers system.
    • Interactions are matched to LibCRM profiles using email address and phone number.
    • LibAnswers interactions are added automatically to LibCRM once per hour.
  • LibCal: When a patron registers for a LibCal Event, Space Booking, Equipment Booking, and Appointment, that registration will show up in LibCRM as an Interaction with a link to more details in the LibCal system.
    • Interactions are matched to LibCRM profiles using email address, with the exception of events which also match against phone number and barcode (i.e. Patron ID in LibCRM).
    • LibCal interactions are added automatically to LibCRM every 30 minutes.

Admin users can choose to show or hide any app's interactions in LibCRM. Hiding an app will not delete its data.

System Settings

The System Settings page allows admin users to set the Time Zone, System Date Format, and System Time Format for the site. 

The Time Zone will affect when all actions and interactions in LibCRM are recorded. Be sure to set this correctly to your local time zone before you start actively using the system. And the system date and time formats allow you to customize how dates and times will be formatted throughout LibCRM.
