Enable LibAuth authentication for a location's space / equipment bookings

Before you begin: your LibApps admin must have created at least one LibAuth configuration. If you do not see the LibAuth settings mentioned below in your Location's settings, then LibAuth has not yet been configured for your system. Please contact your LibApps admin to set it up. See the Links & Files section below for more information. 

Step 1. Enable LibAuth in the location's settings 

  1. Go to Admin > Equipment & Spaces.
  2. Under the Manage Locations tab, click on the location's edit () icon in the Action column.
  3. Under the General tab, select a LibAuth configuration from the Enable LibAuth Authentication dropdown.
    • Leave this set to Not Enabled if you do not want to require authentication for any bookings in the location.
    • When LibAuth is enabled, please note that the Request 2 step email verification option will be disabled for this location since the user's email address is being validated via your authentication system.
  4. If your LibApps admin created group rules for your LibAuth configuration, you can optionally select one to apply from the LibAuth Group Rule dropdown. (See the Links & Files section below for more information on group rules.)
    • A group rule essentially restricts access to a specific subset of authenticated users.
    • For example, you could apply a group rule that would only allow faculty members to submit bookings at this location.
    • Please note that this can be overridden in each category, space, and/or equipment item's settings
  5. Click the Save Location Settings button at the bottom of the page.

Step 2. Apply group rules to individual categories (optional)

Once you've enabled LibAuth for your location, all bookings in that location will require authentication. Within each category, you can optionally apply a group rule to restrict bookings to a specific group of users (such as faculty). To do this, your LibApps admin must have already created the group rules in your LibAuth Authentication settings. 

If a group rule has already been selected in your location's settings, you can choose to use that same rule, select a different rule, or apply no rules to the category.

  1. After saving your location's settings, click on the Spaces tab or the Equipment tab, depending upon which type of category you want to configure.
  2. Click on the  Edit Category button for the category you want to configure.
  3. From the LibAuth Group Rule dropdown, select the rule you want to apply.
    • If you want to always use the location's current setting, select Use Location Setting.
    • If you do not want to apply any rule to this category's bookings, select No Rule Enabled.
    • Please note that this can be overridden in each space/item in the category.
  4. Click the Save Category Settings button.
  5. When finished, click the  Back to Spaces or  Back to Equipment tab to edit additional categories.

Step 3. Apply group rules to individual spaces or items (optional)

In addition to categories, you can also apply group rules to each individual space/item in the category. If a group rule has already been selected in your category's settings, you can choose to use that same rule, select a different rule, or apply no rules to the space/item.

  1. While editing your location, click on the Spaces tab or the Equipment tab, depending upon which type of resource you want to configure.
  2. Click on the edit () icon in the Actions column for that space/item.
  3. While editing the space/item, click on the Details tab.
  4. From the LibAuth Group Rule dropdown, select the rule you want to apply.
    • If you want to always use the category's current setting, select Use Category Setting.
    • If you do not want to apply any rule to this space/item's bookings, select No Rule Enabled.
  5. Click the Save Settings button.
  6. When finished, click the  Back to Spaces or  Back to Equipment tab to edit additional spaces or items.
