Tickets & Passes: Edit or cancel a booking

You can manage pass bookings in a variety of ways:

  • Use the Tickets & Passes > Overview tab to edit patron details and delete the bookings for both digital and physical passes.
  • Use the Tickets & Passes > Booking Explorer to additionally edit the pass type, institution, and booking date for digital passes.
  • The Equipment > Booking Explorer tab can also be used to edit physical pass bookings or cancel physical pass bookings.

Edit patron details

Via the Overview tab

Use the Overview tab to edit both digital and physical passes: the patron name, email address, and booking form responses.

  1. Click on Tickets & Passes in the command bar.
  2. On the Overview tab, select the date on which the booking occurs.
    • For digital passes, this is the date the patron selected to visit the institution.
    • For physical passes, this is the first date of the booking, i.e., the date they will pick up the pass from a library location.
  3. Click the link under Digital Bookings or Physical Bookings, depending on the pass type.

  1. Click the Booking ID link for the desired pass, as identified by the patron Name or Email address.

  1. In the Booking Details modal, click on the link for the Full Name of the user.

  1. In the Edit Form Details modal, make the necessary changes to the submitted fields.
    1. To review and update the Booking Form responses, click the Optional panel to expand it.
  2. Click Save.

Via the Booking Explorer tab

  1. Click on Tickets & Passes in the command bar.
  2. Click on the Booking Explorer tab. This tool searches the digital passes only.
    • If needed, go to the Equipment Booking Explorer to manage physical pass bookings instead.
  3. Use the filters to select bookings by Institution, Status, Date Range, or other options.
  4. Click Go.
  5. Locate the desired booking and click its ID in the Booking ID column.

  1. In the Booking Details modal, click on the link for the Full Name of the user.

  1. In the Edit Form Details modal, make the necessary changes to the submitted fields.

Edit the digital pass type, institution, and date

Below describes how to change the pass type, institution, and booking date for a digital booking. A physical pass booking's specific pass, start date, and end date can be changed through the Equipment module.

  1. Click on Tickets & Passes in the command bar.
  2. Click on the Booking Explorer tab. This tool searches the digital passes only.
    • If needed, go to the Equipment Booking Explorer to manage physical pass bookings instead.
  3. Use the filters to select bookings by Institution, Status, Date Range, or other options.
  4. Click Go.
  5. Locate the desired booking and click the date link in the From column.

  1. In the Update Booking modal, you can:
    1. Use the Institution dropdown to select a different institution. (Please note that you may have to adjust the date and pass based on the availability of the new institution.)
    2. Use the Date dropdown to adjust the date of the booking.
    3. Use the Pass dropdown to change the digital pass type.
    4. If you would like to also send the patron an email about these changes, select the Send confirmation email to user checkbox.
      • The confirmation email will include an updated PDF ticket with the new changes.
  2. Click the Update Booking button.

Cancel a booking

Via the Overview tab

  1. Click on Tickets & Passes in the command bar.
  2. On the Overview tab, select the date on which the booking occurs.
    • For Digital Passes, this is the date the patron selected to visit the institution.
    • For Physical Passes, this is the first date of the booking, i.e., the date they will pick up the pass from a library location.
  3. Click the link under Digital Bookings or Physical Bookings, depending on the pass type.

  1. Click the Booking ID link for the desired pass, as identified by patron Name or Email address.

  1. In the Booking Details modal, click the Cancel Booking button.

  1. Check the box for Send Email to Notify User if you would like to send the patron an email notification that their booking was cancelled.
    1. If you opt to send an email, use the Additional Information box to add a message to the notification. This will be included in the Institution's "Booking Cancelled by Admin" email template wherever the {{{ADDITIONAL_INFORMATION}}} token is inserted.
  2. Click the Cancel Booking button.

  1. Click on Tickets & Passes in the command bar.

  4. Click Go.
  5. Locate the desired booking and click its ID in the Booking ID column.

  1. When prompted in the Cancel Entire Booking modal, toggle the Send Email to Notify User checkbox if you would like to send the patron an email notification that their booking was canceled. 
    1. If you opt to send an email, use the Additional Information box to add a message to the notification. This will be included in the Institution's "Booking Cancelled by Admin" email template wherever the {{{ADDITIONAL_INFORMATION}}} token is inserted.
  2. Click the Cancel Booking button.
