Uploading COUNTER r4 or generic usage data to an eBooks dataset

Getting there

Via the command bar

To record data to a dataset, click on  Record Data in the command bar. This will take you to the default dataset selected in your account's settings. If you are currently viewing the Analyze page for a dataset, however, it will take you to that same dataset's Record Data page instead.

In the Shortcuts box, select a dataset from the  Record Data To dropdown.

Click on a dataset's Record Data () button in the Actions column.

Selecting a platform

All of the data for your e-resources are managed at the platform level.

  1. To begin adding or managing your usage and cost data, click on the platform's Add Records () button in the Actions column.
  2. If you would like to clear out all of the data for a platform, click on its Empty this Platform () button in the Actions column. This will completely delete all data from the platform, so be careful!

Uploading COUNTER r4-compliant files

As an alternative to manually entering data, you can upload usage data for your platform. With this method, you can upload COUNTER r4-compliant files, including:

  • BR1 (Release 4) - Number of Successful Title Requests by Month and Title (R4 sample)
  • BR2 (Release 4) - Number of Successful Section Requests by Month and Title (R4 sample)
  • BR5 (Release 4) - Total Searches by Month and Title (R4 sample)

(Note: The title of the report in Row 1 must match the prescribed COUNTER r4 format. See the COUNTER Code of Practice for reference.)

Uploading data

  1. Under the Usage Data tab, click on the Upload Usage Data panel to expand it.
  2. From the Select Upload Type dropdown, select COUNTER-Compliant File.
  3. From the Select CSV or Excel File field, choose the file you want to upload.
  4. For the Update Type, you can choose how to handle situations where your dataset already contains data for a date in your import file.
    • ​Select Add to Existing Values if Date Exists to simply add the value from the import file to the value already recorded in your dataset.
    • Select Overwrite Values if Date Exists to overwrite the value recorded in your dataset with the value in your import file.
  5. Click the Upload Usage Data button.
    • A confirmation message will appear if the file was uploaded successfully. Especially large files may take several minutes before the data is fully added to your dataset (don't worry -- our server will work on this behind the scenes!). Once the data is ready, you'll receive an email confirmation.
    • If there were any issues with your upload, an error message will appear indicating the specific issues. Once you've fixed your upload file, you can try the import again. If you continue to have issues or need any help, contact the Springy Support team.

Uploading generic usage data

If your platform does not provide COUNTER-compliant files, you can upload an Excel or CSV file containing the total requests, searches, and title requests for each month.

  • Row 1 should have the following headers in this order: date, requests, searches, title_requests. Note that the requests column here refers to "Section Requests." (Generic data sample)
  • Row 2 onwards should have the corresponding values
  • Because the data is stored on a per month basis, the date column values should always be in the first day of the month date (i.e. 2015-03-01 for March 2015 in YYYY-MM-DD format or 01/12/2014 for Dec 2014 in DD/MM/YYYY format)

Uploading data

  1. Click on the Upload Usage Data panel to expand it.
  2. From the Select Upload Type dropdown, select Generic Data.
  3. From the Choose Date Format dropdown, select the date format that corresponds with the date format in your import file. Choosing the incorrect date format will cause your upload to fail.
  4. From the Select CSV or Excel File field, choose the file you want to upload.
  5. For the Update Type, you can choose how to handle situations where your dataset already contains data for a date in your import file.
    • ​Select Add to Existing Values if Date Exists to simply add the value from the import file to the value already recorded in your dataset.
    • Select Overwrite Values if Date Exists to overwrite the value recorded in your dataset with the value in your import file.
  6. Click the Upload Usage Data button.
