Time Clock: Manage the clock in / out for staff members

Clock a staff member in or out for a shift

If a staff member forgot to clock in or out for a shift, a system admin can do that on their behalf. For example, if someone arrives too late to clock in for their shift, the admin can clock that person in instead. Or, if the person forgot to clock both in and out for a past shift, an admin can also record a clock in and clock out time for that shift.

If a staff member has already clocked in, but not out, this feature can also be used to modify their clock in time.

  1. From the LibStaffer homepage, click on the Admin Clock In/Out button in the Currently Checked In box.
    • This box will display all users currently clocked in.
    • For each user, you will see their name, the time they clocked in, and the schedule containing their shift.

  1. Select the Schedule containing the staff member's shift.
  2. From the User dropdown, select the staff member you are clocking in/out.
  3. Select the appropriate Action option. See the sections below for more details on each.
    • Clock In: use this if a user forgot to clock in for a shift within the time boundary, but the shift has not yet ended.
    • Clock Out: use this if a user clocked in but forgot to clock out for a shift. This allows you to backdate the clock out time.
    • Enter past Clock In/Out pair: use this if a user forget to both clock in and out for a past shift. This allows you to backdate both the clock in and clock out times.

Note: system admins can also manually clock staff in and out for their shifts from the Staff Current Status page and from the Time Clock report.

Clock a user in for a shift

  1. From the Action options, select Clock In.
  2. Select a time from the Clock In Time field. If the user already clocked in for the shift, this will allow you to modify that original clock in time.
    1. Optionally, you can record a note in the Clock In Note text box.
  3. Click the Save button.

Clock a user out for a shift

  1. From the Action options, select Clock Out.
  2. Select a time from the Clock Out Time field. The user's clock in time will display for your reference.

  3. Click the Save button.

Enter a past clock in/out pair

  1. From the Action options, select Enter past Clock In/Out pair.
  2. Select a time from the Clock In Time field.
    1. Optionally, you can record a note in the Clock In Note text box.
  3. Select a time from the Clock Out Time field.
    1. Optionally, you can also record a note in the Clock Out Note text box.
  4. Click the Save button.

View staff currently clocked in for their shifts

System admins can quickly view which users are currently clocked in for their shifts across all schedules. This info can be found in the Currently Clocked In box on the LibStaffer homepage. Depending on how many people are currently on the clock, you may have to scroll down to view everyone.

For each person clocked in, you'll see:

  • The person's name
  • The time they clocked in
  • The schedule containing the shift they're working

All staff members (admin and regular-level users) can also see which users are currently clocked in or out via the View Current Status of All Staff button on the homepage.
