Restrict public access to a form using LibAuth authentication

If your library subscribes to the Full version of LibWizard (Forms & Surveys + Quizzes & Tutorials), your Admin can enable LibAuth authentication for your LibWizard system. This gives you the option of requiring users to authenticate via your institution's authentication system (which is connected to LibAuth) before they can view and submit your public forms. If a user is unable to authenticate, then they will be denied access.

LibAuth authentication can be enabled or disabled in each form's options as an alternative to using a local password (i.e. users must enter a specific password for the form to view it). If your LibAuth configuration supports it, you can also further restrict access to specific groups of authenticated users. For example, you could limit a specific form to faculty users only.

You can also use the LibAuth integration to automatically fill out your form's Name field and Email field. When a user authenticates, their email address and (optionally) first & last names will be passed to LibAuth from your institution's authentication system. If you choose to enable this option, LibAuth will insert those values in your form's Name and Email fields. This can both save the user time when filling out a form that requests contact information, while also helping you ensure that the info you're receiving is accurate.

Please note: LibAuth authentication only applies to the public view of your form. If you want to control which LibWizard staff users can view or edit your form, you will need to configure its Permissions options.

Enable LibAuth access control

  1. While editing your form, click on the Form Options tab.
  2. Expand the Basic Info panel (if it isn't already).
  3. Under Public Access Control, select a LibAuth configuration to use from the Enable LibAuth Authentication dropdown.
    • Institutions commonly have only one LibAuth configuration set up, so don't be alarmed if there is just a single option in the list.
  4. If your LibAuth configuration supports group rules, the Use LibAuth Group Rule dropdown will appear. This allows you to restrict access to your form to a specific group of authentication users (e.g. faculty only).
    • If you'd like to apply a rule, select it from the dropdown. (You can only choose from rules added to the LibAuth configuration by your LibApps Admin. Please contact them if you'd like to set up a rule to use.)
    • Otherwise, leave this set to No Rule Enabled to allow access to all authenticated users.
  5. If your form contains a Name field and/or Email field, you can use the Map user info to fields options to fill in those fields automatically. When enabled, LibAuth will pass the user's FIrst Name, Last Name, and Email attributes to LibWizard, which will insert them into the fields you choose.
    1. From the First & Last Name dropdown, select a Name field to receive the values of the user's First Name and Last Name attributes.
      • Note: your LibAuth configuration may not be set up to receive a user's First Name and/or Last Name attributes after they log in. Please contact your local LibApps Admin if these values are not being passed to your selected field.
    2. From the Email dropdown, select an Email field to receive the values of the user's Email attribute.
  6. Click the Save Changes button.
